This Policy applies to personal information collected from: prospective tenants and applicants; current or former tenants; property owners and prospective owners; vendors and service providers; website visitors; and individuals communicating with us.

This Policy does not apply to: information collected solely by property owners independent of Podium; information processed exclusively by third-party platforms; or employment-related data of our personnel.

2. Our Role as Property Manager

Podium often acts as an agent for property owners. In many situations, we collect or process personal information on behalf of property owners in order to market properties, screen applicants, administer leases, coordinate maintenance, and provide management services. Ownership and control of certain data may therefore reside with the property owner, subject to applicable law.

3. Personal Information We Collect

We collect only information reasonably necessary to provide services or respond to inquiries.

A) Contact & Identification: Name, mailing address, email address, telephone number, household composition.

B) Rental Application & Leasing: Date of birth, government-issued ID, employment and income details, rental history, credit and background information, guarantor information. Sensitive screening data is typically processed through third-party providers.

C) Owner & Client Information: Contact information, property details, banking or payment information, ownership documentation.

D) Payment Information: Transaction details and payment method information. Payment processing is handled by third-party providers.

E) Maintenance & Service Requests: Description of issues, property access information, scheduling details.

F) Website & Technical Information: IP address, browser type, device information, pages visited, referring URLs, date and time of visits.

G) Communications: We may retain records of communications. Telephone calls may be recorded where permitted by law or with notice.

4. Information We Do Not Collect Intentionally

Podium does not intentionally collect: personal information from children under 18; biometric identifiers; precise geolocation tracking; health or medical data (except accommodation requests as required by law); or unnecessary sensitive personal data.

5. How We Use Personal Information

We use information for legitimate business purposes including property management and leasing services, owner services, operations and security, legal and compliance purposes, and service-related communications.

6. How We Share Personal Information

We do not sell personal information. We share information only as necessary to operate our business — with property owners (when acting as agent), service providers, or as required by law.

We retain personal information only as long as necessary for service delivery, legal compliance, recordkeeping, and dispute resolution.

Certain services are provided through third parties including DoorLoop, screening services, and payment processors. These entities operate under their own privacy policies.
